PURPOSE SUMMARY
The Office Administrator handles key administrative functions that are operational, organizational, and office based in nature to enhance the overall efficiency of Christ Family Church. By managing administrative systems, schedules, communication, and on-campus coordination, the Office Administrator ensures that information, resources, and processes are accurate, organized, and effectively utilized. Working under the leadership of the Lead Pastor and Administrative Pastor, this role supports staff and ministry leaders so they can lead well and create opportunities for people to Follow God, Grow Together, and Serve Others.
RESPONSIBILITIES
On-Campus Presence
• Maintain regular office hours on campus (Tuesdays & Thursdays)
• Attend weekly staff meetings (Tuesdays at 9:15 AM) and provide administrative updates
• Collaborate with staff on weekly planning and ministry needs
• Participate in cross-ministry planning for upcoming events and service needs
• Contribute to a collaborative staff environment through flexibility and shared responsibilities
Planning Center & Church Center
• Manage Planning Center Online (PCO) applications including Services, Headcounts, Check-In, Events, People, and Church Center
• Maintain accuracy of schedules, service teams, events, and published information
• Schedule and support serve teams for Sunday services and special events
• Create and manage registrations, sign-ups, and forms as needed
Office Technology & Software
• Create and manage staff Microsoft 365 user accounts
• Maintain staff access to Outlook, OneDrive, and SharePoint
• Manage account credentials and digital access permissions
• Provide basic coordination and support for office software tools
Administrative Documentation
• Create, edit, and format documents and spreadsheets using Word and Excel
• Edit, prepare, and print church documents
• Maintain organized digital and physical filing systems
Check-In & Office Hardware
• Manage Connect Center check-in iPads, computers, and label printers
• Oversee office computers and printers for staff use
• Support printing needs and coordinate basic hardware troubleshooting
Website & Online Management
• Maintain basic website content and event information
• Embed and maintain Planning Center event links
• Post basic event promotions on social media as needed
Event Coordination Support
• Create event setup maps, checklists, and printed materials
• Assist with event planning, promotion, and logistical communication
• Coordinate administrative details to support event execution
Calendar & Service Flow
• Prepare and print the weekly staff meeting agenda and calendar
• Maintain the church-wide event and facilities calendar
• Manage the Sunday service flow schedule in Planning Center
• Update weekly service plan and announcements as needed
Connect Group Coordination
• Assist with Connect Group sign-ups in Church Center and PCO
• Communicate with group leaders to gather and update group information
• Design and print Connect Group profiles for the Connect Group Fair
• Maintain accurate Connect Group listings and availability
Communication & Administration
• Collaborate with Digital Admin to clarify shared administrative responsibilities
• Monitor and manage the general church email inbox
• Prepare and mail first-time visitor letters
• Compile and send weekly Prayer & Praise emails
• Record and distribute Connect Card notes
• Serve as administrative point of contact for facility rentals
• Coordinate bereavement care logistics in collaboration with pastoral staff
PAY & HOURS
• Part-time position
• Expected commitment: 10 hours per week
• Compensation: $200 per week
• Hours may vary based on church events or seasonal needs
